RGS POLICIES

BEFORE WE GET STARTED

by booking a service with rené graphics studio, you acknowledge that you have reviewed and agreed to the policies below. these policies are in place to keep every project organized, communication clear and the creative process as smooth as possible for both you and me. ♡

PAYMENT + BOOKING

full payment is required upfront for individual design services unless otherwise stated at checkout.
website development, website revamps and other qualifying larger projects require a 50% non-refundable deposit to secure your project. the remaining 50% must be paid once the project is completed and approved, before the website is launched, transferred or handed over to the client.
your project is not officially secured until the required payment or deposit has been received.
payments may be made through the payment options available at checkout or through an invoice/payment method provided directly by rené graphics studio.
all payments and deposits are non-refundable once submitted, except in the event that rené graphics studio is unable to complete your project.

PROJECT START + CLIENT CONTENT

purchasing a service or paying a deposit secures your project, but your turnaround time does not begin until all required information, content and files have been submitted.
after booking, clients may be required to complete a project questionnaire and provide all necessary wording, photos, logos, brand assets, product information, inspiration and other requested materials.
please review all submitted information carefully. rené graphics studio is not responsible for errors in information supplied or approved by the client, including spelling, pricing, dates, contact information or other content.
incomplete questionnaires or missing materials may delay your project start date.
additional information requested after the design process has begun may also affect the original turnaround time.

PROJECT TIMELINES

turnaround times vary depending on the service booked and begin only after all required content and materials have been received.
standard individual design services generally have a turnaround of 3–14 business days, unless otherwise stated.
website design/development projects generally require approximately 3–4 weeks, depending on the project scope, client response times and how quickly all required content is provided.
branding packages and larger projects may have their own project timeline based on the services included.
turnaround times are estimates and may shift due to project complexity, revision requests, client delays or circumstances outside of rené graphics studio's control.
business days are monday–friday, 10am–7pm, excluding weekends and applicable holidays.
any expected changes to your project timeline will be communicated when necessary.

RUSH SERVICES

rush service may be available for select individual design services for an additional $35 CAD, depending on availability.
rush service must be approved before booking and should not be assumed to be available.
rush service is not available for website development, website revamps, Acuity site development or branding packages unless otherwise agreed upon.
purchasing a service and requesting an earlier deadline afterward does not automatically qualify the project for rush service.

REVISIONS + ADDITIONAL EDITS

unless otherwise stated in the service description, projects include up to 3 complimentary revision rounds.
revisions are intended for reasonable adjustments to the original design, such as minor text, color, image or layout changes.
a revision does not include requesting an entirely new design direction, concept or service after the original direction has already been created.
requests that significantly change the original project scope may require an additional fee.
revisions requested beyond the included amount are subject to a $15 CAD fee per additional revision round.

WEBSITE + ACUITY PROJECTS

clients are responsible for purchasing and maintaining any required website platform subscription, domain, Acuity subscription, apps, plugins or other third-party services associated with their website.
third-party expenses are not included in rené graphics studio's design/development fee unless explicitly stated in your proposal or service description.
clients must provide all required website content, including product/service information, policies, photos, descriptions, pricing and other requested materials before or during the agreed content collection period.
website timelines may be extended if required content, approvals or feedback are delayed.
the remaining project balance must be paid in full before the website is launched, transferred or final access/handoff is completed.
once the website has been approved and launched/transferred, future updates, maintenance, additional pages, products or features are not automatically included and may require an additional fee.
rené graphics studio is not responsible for future platform updates, third-party app changes, outages, subscription changes or technical issues caused by Wix, Shopify, Acuity or other third-party services after project completion.

SCOPE OF WORK

your booking, service description, invoice and/or signed proposal determine what is included in your project.
any service, deliverable, page, feature, product upload, design or request that was not included in the original agreed project scope may require an additional fee.
requests to change the scope of a project after work has begun may also affect the project timeline.

CLIENT COMMUNICATION + RESPONSIBILITIES

clients are responsible for responding to questions, proofs and requests for information within a reasonable timeframe.
delayed communication may result in your project being paused, rescheduled or moved behind other scheduled projects.
projects that remain inactive for 30 consecutive days due to client non-response or missing materials may be closed.
payments made toward an abandoned or closed project are non-refundable.
if a client returns after their project has been closed, a restart/reactivation fee may apply, and the project will be rescheduled according to current availability.

CANCELLATIONS + REFUNDS

all payments and deposits made to rené graphics studio are non-refundable due to the time, planning and project availability reserved for each client.
if a client chooses to cancel or discontinue a project after booking, any payments already made will be forfeited.
payments cannot be transferred to another person, business or unrelated service unless approved by rené graphics studio.
if rené graphics studio is unable to complete your project, an appropriate refund will be issued for any uncompleted work.
rené graphics studio reserves the right to terminate a project due to abusive, threatening, disrespectful or otherwise inappropriate communication, repeated policy violations or failure to cooperate with the agreed project process.

DESIGN APPROVAL + FINAL FILES

clients are responsible for carefully reviewing all proofs before providing final approval.
once a design has received final approval, additional changes may be subject to an additional fee.
final files are provided in the formats specified for the service purchased.
editable/source files are not included unless explicitly stated in the service description or agreed upon beforehand.

PRINTING + THIRD-PARTY PRODUCTION

unless specifically stated otherwise, rené graphics studio provides design services only and does not guarantee the final result produced by a third-party printer or manufacturer.
clients are responsible for confirming all required dimensions, templates, bleed requirements and printing specifications with their chosen printer/manufacturer before design begins.
rené graphics studio is not responsible for printing errors, color variations, sizing differences, material quality or production issues caused by third-party vendors.

INTELLECTUAL PROPERTY + PORTFOLIO USE

final approved designs may be used by the client for their intended business purposes once all required payments have been completed.
unused concepts, drafts and rejected design directions remain the property of rené graphics studio and may not be used, reproduced or recreated.
rené graphics studio reserves the right to display completed work in its portfolio, website, social media and promotional materials unless a confidentiality agreement has been made before the project begins.
clients are responsible for ensuring they have permission to use any photos, logos, fonts, copy or other materials they provide for their project.

DIGITAL PRODUCTS

due to the digital nature of downloadable products, all digital product sales are final and non-refundable.
digital products are for the purchaser's permitted personal/business use and may not be resold, redistributed, shared or claimed as the purchaser's original creation unless the product license specifically allows it.
purchasing a digital product does not transfer ownership or copyright of the original product to the purchaser.

RETAINER SERVICES

retainer services require a minimum 2-month commitment unless otherwise stated.
monthly payments must be received before work for that month's retainer begins.
unused monthly deliverables do not roll over into the following month.
retainer clients receive up to 4 revision rounds per month and priority scheduling where applicable.
cancellation must be requested before the next scheduled billing date in accordance with the client's retainer agreement.

STUDIO HOURS

MONDAY–FRIDAY / 10AM–7PM
messages and emails received outside of studio hours will be responded to during the next available business period. the studio is closed on weekends and applicable holidays.
